Privacy Policy
Last updated 4 September 2026
KitchenOS helps your household plan meals, track the pantry, and manage health-related preferences. This policy explains what we collect, why, who we share it with, and the choices you have. It is written to meet India's Digital Personal Data Protection Act, 2023 (DPDP) and Google Play's requirements.
Who we are
KitchenOS is operated by Ganakys Codilla Apps (OPC) Private Limited ("KitchenOS", "we", "us"), a company registered in Kerala, India (GSTIN 32AAMCG3613Q1ZB). For any privacy question, contact us at privacy@kitchenos.cloud.
Information we collect
We collect only what the app needs to work for you. You provide most of it directly; some is collected automatically as you use the app.
| What | Why we collect it |
|---|---|
| Phone number | To create and sign in to your account (one-time password login). |
| Household & health information — members, allergies, dietary preferences, medical conditions and medications you enter | To plan meals that are safe and suitable for each member, and to send medication and meal reminders. This is sensitive data and you choose whether to provide it. |
| Food & activity you log — meals eaten, pantry items, hydration, cooking activity | To show your plan, nutrition, shopping lists and expiry reminders. |
| Approximate location (coarse only) | Optional. Used to tailor a weather-based hydration suggestion. We never collect precise GPS location. |
| Voice input | When you use the voice assistant, your speech is captured only for that request, to understand and carry out the command. |
| Photos | When you scan a fridge, receipt or a dish, the image is used to read items or a recipe. Processing is on your request. |
| App activity & diagnostics — feature usage, crash and performance data, device and advertising identifiers | To keep the app working, fix crashes, and understand which features are used. |
How we use your information
- To provide the core service — meal plans, pantry, logging, reminders and the voice assistant.
- To personalise plans to your household's health, allergies, diet and taste.
- To operate, secure, debug and improve the app.
- To process your subscription and provide support.
- To send you notifications you have enabled (e.g. meal, medication or expiry reminders).
We do not sell your personal data, and we do not use your health information for advertising.
AI processing
KitchenOS uses artificial intelligence to generate meal plans and to interpret your voice and photo requests. To do this, the relevant information — for example your household's dietary constraints for a plan, or your spoken command for the voice assistant — is sent to our AI providers, OpenAI and Google (Gemini), solely to produce the result you asked for. This data is not used to identify you or to build a personal profile. AI output is a suggestion and can be imperfect; always check it against your household's actual needs, especially allergies.
Who we share data with
We share data only with service providers who process it on our behalf, under contract, to run the app:
| Provider | Purpose |
|---|---|
| Google Firebase | Account sign-in, secure database storage, notifications, analytics, crash & performance monitoring. |
| Google Play | Subscription billing. Google is the merchant of record; we never receive your card or bank details. |
| OpenAI and Google (Gemini) | AI meal planning, and voice/photo request processing. |
| Sentry | Crash and error reporting so we can fix problems. |
We may also disclose data if required by law, or to protect the rights, safety and security of our users and our service.
Payments
Subscriptions are purchased and managed through Google Play. Your payment is handled entirely by Google under its own terms and privacy policy; KitchenOS does not see or store your payment method. You can manage or cancel your subscription any time in the Play Store.
How long we keep your data
We keep your account and household data for as long as your account is active. If you delete your account, we delete your personal data from our systems, except where we must retain limited records to meet legal, tax or security obligations. Diagnostic and crash data is retained only for a short period.
Security
Data is encrypted in transit. We restrict access to personal data to what is needed to operate the service. No system is perfectly secure, but we take reasonable technical and organisational measures to protect your information.
Your rights and choices
You can, at any time:
- Access and correct your household, health and profile information in the app.
- Delete your account from within the app (Settings → your profile), which removes your personal data as described above.
- Withdraw consent for optional data (for example, turn off location or notifications).
- Manage your subscription in the Play Store.
Under the DPDP Act, as a Data Principal you also have the right to access, correction, erasure, and grievance redressal, and to nominate another individual to exercise your rights in the event of death or incapacity. To exercise any right you cannot complete in the app, contact our Grievance Officer below.
Children
KitchenOS is intended for adults managing a household and is not directed at children under 18. We do not knowingly collect personal data from a child without verifiable parental consent. A parent or guardian may add a child as a household member (name, age and dietary needs) to plan that child's meals; that information is provided and controlled by the adult account holder.
International users
KitchenOS is operated from India, and your data is processed in India and in the countries where our service providers operate. By using the app you understand your data may be processed in those locations under this policy.
Changes to this policy
We may update this policy as the app evolves or the law changes. We will update the date at the top and, for material changes, notify you in the app. Continued use after an update means you accept the revised policy.
Grievance Officer & contact
In line with the DPDP Act and applicable Indian law, you may raise any concern about your data with our Grievance Officer, who will acknowledge and address it within the timelines the law requires:
